The 4-Step Rescue Plan
Don't try to fix everything at once. Follow this order of operations.
Stop the Bleeding
If you are still using your personal debit card for business, stop today. Open a dedicated business checking account immediately. This prevents the mess from getting bigger while you clean up the past.
The "Shoebox" Method (Digital)
Don't look at receipts yet. Download the last 12 months of PDF statements from your Bank and Credit Card. Create a folder on your desktop called "2024 Financials" and drop them all in. Knowing they are in one place reduces anxiety by 50%.
Triage by Vendor
In your accounting software (QuickBooks/Xero), do not sort by date. Sort by Payee (Vendor). This allows you to categorize 12 payments to "Staples" as "Office Supplies" in one click, rather than categorizing them individually month-by-month.
Reconcile or Die
Once categorized, use the "Reconcile" tool to match your software balance to your ending bank statement balance for each month. If the difference is zero, you are audit-proof. If it's not zero, you aren't done.
